Women of Note is seeking a person to assume the role of Choir Manager. This is a permanent part-time managerial position with the choir, commencing with a 3-month probationary period.
The Choir Manager (CM) reports to the Board of Directors and works in collaboration with the Artistic Director (AD). The Choir Manager is responsible for the general management of the choir, including publicity and promotion, grant writing, reports and all financial matters as directed by the choir’s bylaws.
Duties and Responsibilities The CM works to support specific initiatives as directed by the Board and/or the AD. The CM encourages and coordinates volunteers to take on some of the responsibilities.
Specific duties and responsibilities of the CM include the following:
Choir Management
Auditions – manages the audition process in collaboration with the Artistic Director
Performances and events – is responsible for managing the business of performances and events including workshops, i.e., ticket sales, front of house, venue booking and arranging for stage management in collaboration with the AD; liaising with the AD with respect to preparation of concert programs.
Surveys – prepares and processes audience and chorister surveys in collaboration with the Board.
Business Management
Financial – is responsible for the day-to-day financial business of the choir, in consultation with the Treasurer;
maintains and prepares financial and statistical records in collaboration with the Board and the AD.
prepares annual government reports, prepares and distributes tax receipts;
helps to develop budget(s);
prepares liability insurance for the Choir and rental spaces;
processing and recording invoices and accounts payable and receivables, bank deposits; fundraising, including grant applications in collaboration with the AD;
Registration – facilitates the registration process, including the registration correspondence, membership information, and payments.
Database – manages Groupanizer (a database developed exclusively for choir management), including updates, posting events and all information for Board and choristers.
Communications – manages communication information for Board, choristers and audience.
Records/Files – maintains archival and current files of the Choir.
Annual General Meeting – prepares and distributes AGM reports and notices; organizes AGM venue.
Board meetings – as an ex-officio member, attends all Board and Committee meetings as necessary.
Publicity/Promotion The CM assists with the marketing and communication of choir activities in collaboration with the AD and Marketing and Communication Committee.

Computer skills (Word, Excel, email)
Bookkeeping skills (using online QuickBooks)
Strong organization skills
Interpersonal skills
Leadership skills
Access to home office space and basic computer equipment (desk or laptop, printer)
Understanding of non-profit artistic organizations
Passion for and understanding of choral music
REMUNERATION Remuneration, in agreement with the Board, is payable monthly in equal installments.
